Terms of Service

Last updated: Oct 20, 2026

These Terms govern the use of CertFlow, an online service operated by CertFlow SAS (Entrepreneur individuel), Suisse, Suisse, SIRET 123 456 789 00012 ("we", "us"). By creating an account or subscribing, you accept these Terms on behalf of your organization. CertFlow is intended for businesses only.

1. The service

CertFlow helps manufacturers store material certificates, record heat-number traceability and assemble Certificates of Conformance (CoC) and shipment documentation packages.

Values read automatically from documents must be reviewed by your staff. CertFlow does not certify products, does not verify that material conforms to any requirement, and does not confer AS9100, ISO or any other certification or compliance. You remain solely responsible for the documents you approve and ship to your customers.

2. Accounts

You must provide accurate information, keep passwords confidential and are responsible for activity under your organization's accounts. Owners and admins control who can access the organization and with which role.

3. Acceptable use

CertFlow is for commercial documentation only. You must not:

  • upload export-controlled technical data (ITAR, EAR or similar regimes);
  • upload unlawful content or content you have no right to use;
  • attempt to access another organization's data, disrupt the service or bypass its security;
  • resell the service or use it to build a competing product.

4. Free trial

New organizations get a free trial (currently 14 days) without a payment card. At the end of the trial a paid plan is required to keep creating records. Your existing data remains viewable and downloadable.

5. Plans, prices and payment

Current plans: Starter US$149 per month and Pro US$299 per month, plus any applicable taxes. Plan limits are shown on the Billing page.

Subscriptions are billed monthly in advance through our payment processor, Stripe, and renew automatically each month until cancelled. We never see or store your full card number.

We may change prices with at least 30 days' notice by email; a new price applies from the first billing period after the notice. If a payment fails, we may restrict the creation of new records until it is resolved.

6. Cancellation and refunds

You can cancel at any time from Settings → Billing → Manage billing. Cancellation takes effect at the end of the current paid period and no further charges are made. Amounts already paid are not refunded, including for partial months, except for billing errors or where the law requires otherwise. Details are in our Refund and cancellation policy.

7. Your data

You keep all rights to the documents and data your organization uploads or enters ("Customer Data"). You grant us a limited right to host, process and display Customer Data solely to provide the service to you. Original certificate files are stored without modification.

We process personal data as described in our Privacy Policy. If an owner or admin enables AI document processing, document content is sent to our AI provider only to extract data for your review.

8. Export and deletion

You can download your certificates and generated packages at any time. After your subscription ends, your data remains available for download for at least 30 days. On written request from an owner, we delete your organization's data within 30 days, except where we must keep it by law; copies in backups expire with the normal backup cycle.

9. Availability and support

We work to keep CertFlow available and secure but do not guarantee uninterrupted service; maintenance and incidents may occur. Keep your own copies of documentation you ship. Support is provided by email at contact@certflow.cloud.

10. Warranties

To the extent permitted by law, the service is provided "as is" and "as available", without warranties of any kind, including fitness for a particular purpose or that automatically extracted data is accurate.

11. Limitation of liability

To the extent permitted by law, we are not liable for indirect or consequential losses, including lost profits, production stoppages, rejected shipments or recalls, and our total liability for any claim is limited to the fees you paid in the 12 months before the event giving rise to it. Nothing in these Terms limits liability that cannot be limited by law.

12. Suspension and termination

We may suspend or close an account that breaches these Terms or remains unpaid, with prior notice where reasonable. You may stop using the service at any time.

13. Changes to these Terms

We may update these Terms. We will notify material changes by email or in the application at least 30 days before they take effect. Continuing to use CertFlow after that date means you accept the updated Terms.

14. Governing law

These Terms are governed by the laws of Suisse. Disputes are submitted to the competent courts of our registered office, unless mandatory law provides otherwise.
